Every OFS-Flow form has an Audit Log which tracks changes to form information with identity and date/time stamping. Find out how to access and parse this information.
Within OFS Flow, your manufacturing operations likely record critical quality information. In order to build a chain of custody for this information which builds trust with internal and external parties, like Quality Departments and Customer Auditors, OFS-Flow automatically captures an audit log for every digital quality record. This article explains how that information can be accessed and understood.
Flow Manager
In order to access the Audit Log for a particular alert / OFS-Flow form, you will need to find the record within your OFS Analytics Flow Manager report.
With a specific record in mind, highlight the alert in your Flow Manager report and select the Audit Log... button in the top left.
Audit Logs
The Audit Log viewer shows you every audit event a form has undergone. The interface is presented in two parts:
- The left hand side of the screen is a selectable list of timestamps and user identies. Every audit event for this form is an entry (row) in this left hand side.
- The right hand side of the screen lists the details of the interaction at the time selected.
The example above shows that the user called ofsxadmin updated the values of 3 fields, and saved the form's workstate to Pending at 12:02pm on the 21st of May 2024.
Events Logged by Audit Records
Audit Logs for OFS-Flow records are generated server side based on the data submitted, so they cannot be manipulated and are write-once, so cannot be changed after saving.
All events resulting in data changes are written to the audit log:
- Workstate Changes
- Data Changes
- Form Creation, Expiry
Viewing and access of data are not logged by the audit log. This includes PDF generation and CSV export, which are not logged to the Audit Log (but are captured by other logging events).
